How to Write E-Mail Letters to Professors in U.S. Universities to Pursue MS in Specific Research Areas?

I have been writing to professors in various U.S. universities, expressing my research interests in the computer science areas to pursue MS in CS, but I am receiving very few responses.  What may be the reason, and is there any specific way I should write the e-mail?

The response rate you’re receiving isn’t unusual.  Professors in American universities receive much e-mail from prospective students for which they don’t have the time to reply to all mails because of their professional commitments.  Students can expect a reply if their profile and research interests have a good match with the professors' needs and the professors are actively seeking an MS applicant(s) to fill an available research slot and or to work with in the graduate program.

Whether a professor chooses to reply to your e-mail also depend on how you present your academic credentials and research interests. 

To send an effective e-mail to professors in U.S. universities, review their research work and interests.  List those that match with your aptitude and needs.  Then, study their research work in detail.  Identify the salient features and accomplishments of the professors’ research.

Use the above background info as the foundation to write the letter.  In it, concisely talk about the professor’s research work and highlight how it as an excellent synergy with your research interests.  Request the opportunity to work in his / her research area(s) in the MS program. 

At this stage, do not ask for an RA.  If the professor likes your profile and educational goals, he / she may award an RA to you from the first / second semester.  Be sure to mention briefly in your message about your academic accomplishments, research potential and internship and work experience (if any) details.  Present the entire content clearly and succinctly. 

You may also want to attach your resume to the e-mail.  Alternatively, if you’ve a website that details your educational achievements, project work, published papers and work experience (if any) and other, give a link to the same in your e-mail and request the professor to visit your site and review your qualifications.

How to find out about my undergraduate GPA?

It is critical to know the U.S. university-equivalent of your GPA / aggregate percentage for your own assessment of your chances of admission and financial aid.

If an American university website doesn’t specify the percentage-GPA conversion formula, you would have to send an e-mail to the graduate school and request info about the same.  You may also want to send a CC to your Department and the International Students Office.  Don’t forget to mention your aggregate percentage and the average percentage in the last two years of your studies in your query.

Organizations like WES (wes.org) offer services like converting your aggregate percentage into GPA for a fee.


What are the job prospects after MS?  Is there any compulsory training post-MS?

Your employment prospects entirely depend on your approach to finding a job, field of study, aptitude, GPA, projects and the job scenario in the U.S.  Of course, you need a bit of luck too.

There is no compulsory training after MS.  However as an international student on an F-1 visa, you can work in the U.S.—in your field of study—for about 18 months through the optional practical training (OPT) route.

Remember, you’ve to maintain legal status throughout your graduate program to avail OPT.  Further, you should find a job on your own.

Is there campus recruitment in U.S. universities?

Most U.S. universities do have campus recruitment, but companies would mainly hire U.S. citizens / permanent residents.

What are the prospects of employment after MS in India?

Excellent.  Some of the top-notch companies that hire electrical engineers are Intel, Motorola and Texas Instruments.  They all have a base in India.

I hear that students from India and China score higher grades than local students.  Is it because Indians and Chinese work harder?

Most students from India and China do score top grades.  Are they relatively higher?  It depends on the U.S. University, whether the American student works full-time and studies part-time and other.  Keep in mind that all students have to work hard and smart in their graduate program and maintain a minimum GPA of 3.0.

Can I take courses beyond that required for an MS degree and complete graduate studies in one-and-a-half years?

Yes, you can.  Most American universities require that international students enroll for a minimum of nine credits / three courses (one course = three credits (usually)) each semester.  The maximum number of courses you can take would be either 12 or 15 credits per semester.

In the summer semester, most universities give you the flexibility to register only for six credits.

Be aware that if you take maximum number of courses it would affect your health and grades.  Further, if you’re an RA / TA, managing work and studies can be challenging.

Also, note that it will cost you more money for each additional course you enroll.

When do U.S. universities close for holidays?

U.S. universities close for spring and Christmas break and national holidays like Thanksgiving Day.  In the summer semester, only a few courses are offered and some courses may be available for registration only in the summer.

Where do international students usually eat?

Most international students cook their own food, as it works out cheaper.

What Parameters do U.S. Universities consider to Award Assistantship for International Students?

I want to do MS in Electrical Engineering in the U.S.  I did my B.E. in Electronics with 3.24 GPA (according to the university %-GPA conversion method).  I completed my B.E. in July 2009, and got selected in a software company.  But due to recession, the company was not giving the call letter.  So, I made up my mind to do MBA, prepared for the exams and scored moderate marks.  I now wish to pursue MS in the U.S.  I haven’t taken GRE and TOEFL yet, but honestly feel that I would be able to do pretty well.  So, I want these questions to be answered:

When does the academic year start in American universities?
What are the parameters to be able to get scholarship?
What is the fee range?
Will the one year gap be an issue (after July 2009, I was waiting for the call letter and preparing for the MBA exams)?


Academic Year in U.S. Universities

The start of the academic year in most universities is the fall term (September – October).  The fall term is when most scholarship and assistantship are awarded to international (and American) students.

However, the majority of U.S. universities admit international students in the winter (Jan) and summer terms (May-June) also.

The parameters include:

  • Project and academic accomplishments

What is the Range of Fees in American Universities?

It varies widely from university-to-university.  Private institutions are far more expensive than public / state universities.  Consider Rs. 15,00,000 as the minimum amount you need (without assistantship) for graduate education in the U.S.  The websites of U.S. universities give details of the tuition and fee.

Will the One Year Gap after Undergraduate Education matter to U.S. Universities?

It will not.  However, you’ve to explain to the U.S. Consular Officer during the visa interview about your one year gap.
